Coronavirus COVID-19 Company Statement

To all customers,

Firstly we would like to wish you and your families good health at this time.

In response to the latest information and guidance available, Cara Stationery would like to issue the following updates in respect of operational activities and health and safety measures. Updated Wednesday 27th May 2020.

Service and supply

Our sales office is open as normal and we have increased our staffing levels in response to a rise in demand as the lockdown period is gradually relaxed. Orders for stocked products that are placed before 5pm Monday to Friday (bank and public holidays excluded) will usually be delivered within 2 working days. Furniture items, special order items and selected other products subject to extended lead times will have estimated lead time advised at point of order. Stock information on our web site may be inaccurate in the short term as our live stock feed is not working however please place orders as normal and assume the product is in stock and we will contact you in the event that anything is going to go on backorder.

General Product Availability & Prices

Most of the 10,000+ products in our catalogue remain in stock and readily available for delivery. Spicers wholesaling who supplied the 5 Star brand and many other products in our offering have ceased trading. The 5 Star brand has been purchased by another wholesaler and will continue to be available albeit there may be some stock shortages in the short term. We have the Q brand as well as other own label and plain label brands and so our order fulfilment rates on most of our range remain in excess of 99%. A number of products across various categories in our catalogue are imported from around the world and even many of the UK manufactured items contain raw materials and components that are sourced from outside the UK. Product availability may become constrained and certain items may at times be unavailable. We source from multiple factories and distributors particularly for key lines like A4 paper but there are likely to be occasions where even these products may go into constraint. We are trying to hold prices at the usual rates as far as possible but the price of air freight has increased substantially over the last few weeks because of the huge decline in the passenger flights on which a large amount of goods are shipped. This will lead to higher prices as the effect filters through. The weakening of the pound against the dollar and euro is also likely to contribute to some price inflation on imported products.

Hand Cleansers, Surface Cleaners & Washroom Supplies

Stock has improved on hand sanitisers, washroom paper goods and surface cleaning. Surface and hand cleaning wipes are still in very short supply.

Desk Sneeze Guard Screens & Social Distancing Signage

We have a range of acrylic desk 'sneeze guard' screens available as well as floor and wall graphics/signage to aid social distancing. Contact our sales team to discuss your requirements.

Office Furniture Installations

Our office furniture installation service is being reintroduced, please contact our sales team to discuss your requirements.

Customer & Supplier Meetings

We have suspended all face to face customer and supplier meetings. We are happy to conduct telephone or online meetings if required.

Cara Delivery Drivers & Office Staff

Our delivery drivers who deliver on the Cara Stationery van fleet have all been issued with hand sanitisation products so they can cleanse their hands after every delivery. They have also been instructed to take the recipients name at point of delivery and record it themselves on our delivery manifest so that customers are not required to handle the delivery paperwork or pens etc. They will also not enter buildings if requested to remain outside and the customer is happy to come outside to take in the order. At all times they will try and adhere to the 2M social distancing directive. They have also all been instructed to self-isolate in the event that they believe that they may have the symptoms of the virus. Our office has hand gel dispenser available to all staff and visitors and our staff who are not already working from home (less than 20% of who use public transport to get to work) have been advised on how to minimise the risk of catching the virus with measures including avoiding contact with surfaces, avoiding the public transport network at busy times etc.

Information Sharing

We have been asked by a number of customers to engage in a 3 point system for responding to cases of the virus which are as follows:

Suspect Case – an employee is presenting symptoms of the illness and may have been exposed to it.

In this instance the employee will be sent home and instructed to self-isolate for 7 days or as per the latest official guidance.

 

Contact Case – an employee is not presenting symptoms of the virus but believes that they have had contact with someone who has tested positive for the virus.

In this instance the employee will be sent home and instructed to self-isolate for 7 days or as per the latest official guidance. They will also be advised to get themselves tested for the virus.

In such circumstances we will advise any customers whom we believe our employee may have come into contact with. We also require any customer or supplier of Cara Stationery to advise us in such circumstances if one of their employees may be a suspected contact case.

 

Proven Case – an employee has been confirmed by a formal health authority test to be a carrier of COVID-19 and is known to have visited a customer premises within the previous 7 days.

In such circumstances we will advise any customers whom we believe our employee may have come into contact with. We also require any customer or supplier of Cara Stationery to advise us in such circumstances if one of their employees has been confirmed by a formal health authority test to be a carrier of COVID-19 and is known to have had contact with 1 of our employees and/or has visited our premises in the last 7 days.
